Entry of penalties in ariadne

In order to publish the penalties per gate, you need to enter the penalties into the timing system. Ariadne has currently no penalty entry terminals for the gate sections. This means we need to collect the penalties via radio sets from the gate sections, and enter these centrally into Ariadne.

1. Collecting penalty scores from the gate sections

Each gate section is via a radio set connected to the penalty office. At the penalty office 3 to 5 volunteers collect the penalties per bib number / series / gate on a penalty collection form, from which the penalties are entered into Ariadne.

Every gate section has a number of gates to judge. The gate judges write the gate scores to their scoring form. The gate sections need then to forward the gate scores via the radio set to the penalty office, where a volunteer collects the score on the penalty entry form.

Two collection procedures are possible, depending on the number of volunteers available.

1. The gate section calls the penalty office. This requires to have a volunteer per gate section at the penalty office. The advantage is that the gate section can call the penalty office when they are not busy scoring. The disadvantage is that the gate section has often to be reminded to forward the penalty scores in time.

2. The penalty office calls the gate section. In this case you need less volunteers at the penalty office (about 3), but at each gate sections you need a communication volunteer to forward the penalties on request. If you leave this to the judges, they are often busy judging when the penalty office calls.

(Per saldo procedure (1) requires the least number of volunteers and delivers the penalty score fastest's.)

Excel penalty entry form

Definition:
Competing unit - The canoe/kayak and its participant(s) (Or team of canoe/kayaks), that competes for a ranking in an event. The competing unit can differ in type of boat and number of participants. As a unit the competing unit gets only one race result and a related ranking.

2. Entry of penalties in Ariadne

When the events runs, the Ariadne penalty entry form shows as the next screen print:

The subform 'Run status' shows which competing units have started or completed their run. Started competing units appear in this subform with a maximum op 30 seconds delay. Use this subform to put the penalty entry form ready for use.

When the competing unit has finished, it appears on the subform 'Runs to be judged'. Click on the arrow button right of the bib number ('penalties') to open the penalty entry form. (For technical reasons a 'Run to be judged' cannot be shown before the finish.)

The right side subform shows the competing unit and the gates on which the penalty score can be entered. Via the radio buttons you can select 2 or 50 points per gate. By clicking for a gate in the blue column, you can enter via de keyboard other values for the penalty score (This is in case with teams, where you have to add the penalties of the team participants.)

If you need to correct a penalty to 0 points, also click in the blue column, and enter 0 points via the keyboard.

When you entered all penalties for the competing unit, click the button 'Save'. If a competing unit had 0 penalties, only click the button 'Save'.

3. Special cases

3.1 A competing unit left the course

It happens that a competing unit capsizes and does not succeed in completing the eskimo roll. And there may be other reasons that the competing unit does not complete the run. That competing unit will not finish and will not appear in the subform 'Runs to be judged'.

A gate section will probably inform you via the radio set that the competing unit (bib number) has left the course. Telephone the timing office that the competing unit (bib number) has left the course. The timing office sets the status of the competing unit to 'DNF' (Did not finish).

3.2 Request completed runs

In the Run status subform you can request the penalties of runs that already completed. Click the arrowed button 'Show'. The form on the right will open.

You cannot change the penalties on this form. You can use this form to check what penalties you entered, if somebody questions the penalties.

3.3 Correction of entered penalties

If penalties need to be corrected request this by phone to the timing office, who can correct the penalty points.

(Eventually timing office can set back the status of the competing unit, which makes the bib number re-appear in the subform 'Runs to be judged'. You can make then the changes yourself.)

4. Error reports and exceptions

4.1. Ariadne shows an error message

Sometimes Ariadne shows an error with some message as below:

If you see such a message, call the technical assistant.

4.2 Ariadne becomes slow or does not react anymore

There may be something wrong with the network connection. Call the technical assistant.

4.3 The penalty-PC does not react anymore

If the PenaltyPC does not react on the keyboard or mouse anymore, the PC may have crashed. Call the technical assistant.

4.4 There is a power outage

May be a power fuse has blown, or somebody pulled the 230 Volt plug. If you are working on a laptop, it may continue on its battery.

If the PC stopped due to a power outage, it will restart when the power returns. Afterwards Ariadne and the network connection need to be restarted. Call the technical assistant.

4.5 Backup procedure for penalty entry

If in case of a problem it does not succeed to get the penalty entry in the penalty office working again in short time (for instance due to cable problems), then the penalty point can be entered in the timing office. Eventually the PenaltyPC can be placed in the timing office, or the AdminPC can be used for penalty entry.

Let somebody bring the penalty entry forms to the timing office, where the PenaltyPC operator or the AdminPC operator can enter the penalties in Ariadne.
